Watch how easy it is to publish an agenda and also learn how you can quickly make modifications for little errors found without having to pull the entire agenda down.
One-Click Publishing
To use our automated agenda publishing simply press "File" => "Publish Meeting"

Once confirmed, the digital version is instantly available to the public via our public portal, a notification goes out to all subscribers, and the PDF versions begin generating.
Once the PDF packet has finished it will email the user who published the agenda letting them know the packet is complete with a link to the packet in the email for downloading and printing if desired.
Manual Updates
You also have the ability to manually make changes to the meeting's status, name, and pdfs via the meeting properties menu. To open it simply click "Edit" => "Meeting Properties".

- Status: Using this dropdown you can change the meeting's status without triggering any automations.
- Meeting Type: This allows you change the name of this meeting and this meeting only. For example, if it's a special meeting instead of a regular meeting simply type that here.
- Revised Agenda: This will automatically check itself if you publish and agenda via the "File" menu and then Un-Publish using the same method. When it's checked it will put a revised flag on the digital and pdf versions of your agenda. If you don't want it there. Simply uncheck the box.
- Agenda Lock: Quick and Easy way to lock down the agenda itself
- Special Notice: Here you can upload any type of special notice you wish in pdf format and on the public portal it will put a notice link for the public to click and view.
- Cover Sheet: Here you can manaully upload or generate the Agenda PDF for the meeting. If you choose to upload an agenda pdf say for a meeting that isn't built within the software then make sure to check the box underneath this field so that the public portal delivers the PDF instead of the digital version.
- Agenda Packet: This works the same as the Cover Sheet section above it. The Generate Packet button is commonly used when making manual fixes to your agenda and you then need to have those changes reflected in the PDF versions. Note that pressing the generate packet button will also generate the cover sheet.
- Minutes: Here you can upload a pdf of your minutes if building them outside of the software. Once uploaded make sure again to check the box underneath it so that the PDF version is provided to the public vs the digital version.
- QR Code: Each meeting has a unique QR code. You can download the QR code to then print out and place within your meeting space. When a citizen scans it, it will take them to the digital version of the agenda on their device.
Agenda Fixes
Now let's talk about how to fix minor issues with your agenda that you may find after publishing. You can make changes without having to unpublish your agenda. Say you found a small type-o or something of that nature. Below are steps you can take to resolve them.
- From the Agenda Building Screen make sure the topic is first unlocked using the lock icon.
- Open the item and make whatever adjustments are needed. (Changes are instantly reflected on the digital version of the agenda)
- Lock the item again
- To then update the PDF versions open the meeting properties and press the button to generate the packet again.
